Meeting Cost Meter

Every meeting has a cost. See it while it runs.

The meter sits alongside Microsoft Teams and shows the true cost of each meeting as it happens, priced at your own pay bands. Turn wasted meeting hours back into productive time.

For any organisation that meets on Teams. The example below uses NHS Scotland pay bands.

Example: weekly bed management huddle● 00:42:21£0.00
Charge Nurse
Staff Nurse
Physiotherapist
Service Manager
Head of Nursing
Associate Director

Change anyone's band and watch the cost per minute update.

Costs you can see, in the meetings you already have

No new meeting habits to learn. The meter sits alongside Microsoft Teams and does the maths for you.

  1. Set each attendee's pay band

Use your own salary bands, or built-in public sector scales such as NHS Agenda for Change. Everyone is priced at full employment cost, including employer NI and pension.

  2. Watch the cost as you meet

A live timer shows the running cost and the cost per minute, so the chair can see when a meeting has earned its time.

  3. Get a monthly report

Meeting hours and cost by department and band, with the change month on month, ready for finance and board papers.

Example: NHS clinical time

How much time could your team get back?

A worked example for an NHS Scotland team. The move to a 36-hour week took 1.5 hours per person, per week, and cutting meeting time is the quickest place to recover it.

Full employment cost: an hour

–

hours a year back for patient care

–

whole-time equivalents

–

staff time at full employment cost

Pay rates: NHS Scotland Agenda for Change pay rates from 1 April 2026, Scottish Government circular PCS(AFC)2026/1. Assumes a 36-hour week, 35 days' leave, 15% employer NI above £5,000 and 23.78% employer pension. Released time becomes a cash saving when it reduces overtime, bank or agency spend.

Evidence your finance director can use

Every meeting adds to a monthly picture of where time goes, so savings can be measured, not guessed.

  • No personal data stored. Reports hold band counts and costs, never names or who earns what.
  • Small groups hidden. Any figure with fewer than 5 attendees is suppressed.
  • UK-hosted. A data protection impact assessment pack is supplied for your data protection team.
  • Right people, right view. Department leads see their own figures; organisers see only their own meetings.
